Hopin Tool - Helping you to access the conference online

Welcome to the REC2021 Hopin tool guide. This year we will be using Hopin to host our conference. Here you will find some useful information to help you access REC2021 on 25th June 2021.

Some useful information to start off on:

  1. Hopin works best using Google Chrome or Mozilla Firefox. If you do not have these programmes, they are able to easily be downloaded by clicking on the links above. Please avoid Safari, Microsoft IE or Microsoft Edge as these browsers lack the modern web technologies support necessary for online events to run in a web browser.

  2. Make sure you have received your login details and set your password if you register with us via Eventbrite. If you haven't registered yet please register for REC2021 by clicking here. If you have registered via Eventbrite and haven't recevied your login details, please email us at REC2021@exeter.c.uk. 

How will Hopin be structured for REC2021?

There will be 5 sections that will make up REC2021:

  • Reception - The reception area will act as the lobby, similar to an in-person lobby when you first turn up. Here you will find out what is happening on the day, including a REC2021 schedule (including keynotes, sessions, posters, networking), important announcements and notices, links and event updates. 

  • Stage - It’s a one-to-many interaction area that supports up to 100,000 concurrent viewers. The Stage will be used for the plenary sessions (keynotes, welcome and farewell, socializing).

  • Sessions - The Sessions segment of Hopin will be used for most sessions besides keynotes including full paper sessions, Panel Discussions and workshops. In Sessions, you will see virtual roundtables for speakers and attendees to interact. Up to 20 people can participate in a Session with their camera on, with up to 500 people who can watch off-camera and interact via the session chat. This is often where attendees ask questions to the speakers on camera. 

    Sessions will automatically appear on the schedule and automatically hide once their time is up. Attendees can view the list of previous sessions by clicking 'Show Past Segments' at the Reception area of the event. In sessions with multiple people, you can double-click any screen to enlarge it.
    Session hosts will receive a link to the session shortly before the scheduled start-time to set up. 

    Additionally you will also find the following two rooms here:

    • Cup of Ethics Café – Here you can freely join the session to talk (by clicking “Share Audio and Video”), chat and socialise. There will also be breakout rooms posted here.

    • The Helpdesk – your main way of reaching the REC2021 team. If you need any help or support, you can contact us here in chat or by sharing audio and video to talk to us directly.

  • Expo/Posters -  The Expo area is the virtual poster exhibitor hall with Gallery-booths. The REC2021 poster gallery will feature selection of short pre-recorded posters presentation, live Q&A chat, slide shows, downloadable links and of course the brilliant posters themselves. During designated Spotlight times, the respective Gallery contributions will be moved to the top and can be used same as sessions for live discussions. 

    In the Poster Gallery Booth chat you will find further downloadable resources provided by the author(s), such as papers and presentations, as well as other useful links and resources. 

  • Networking The Networking segment on Hopin is pure engagement and is similar to one-on-one meetings on a FaceTime or Facebook call. This segment is designed to recreate the “coffee-in-the-lobby” conversations that are important at an in-person event. The Networking area automates the discovery of new connections. When an attendee participates in Networking, they are matched with a random attendee and meet for a set time of 3 minutes.

    Attendees can click the 'Connect' button during a call to exchange contact information and after the event the newly made contacts will appear at the 'Connections Page' of their individual Profile. For more information click here.
